Responding to a Changing Document Environment - by Terry Wieczorek

President of DocuLynx

Even in an age of digital technology, when information is moving at the speed of light, many are reluctant to give up the printed document. Paper documents do have certain undeniable perceived advantages. They can be used just about anywhere without any special “reader” technology. Paper documents are often viewed as more reliable or “permanent.” Finally, in today’s high-tech world, many people regard paper as providing a more personal, one-on-one “high-touch” user experience than email or other electronic media.

However, despite all of the above, the migration to electronic documents is expanding as awareness grows that they provide a host of advantages impossible with paper. For one, they can move almost instantly across telecommunications networks for use in time-sensitive situations. They can be delivered to many more destination points, such as an individual’s desktop, than standard mail or even courier services - and for less cost. And this new level of convenience is enhanced by the fact that users can print, save, download or email electronic documents on-demand from their desktops according to their personal preference, or to comply with “green” initiatives that advise printing only when you have to.

Where security is a concern, software developers have devised better methods of encrypting documents to ensure that only authorized personnel will be able to access them, making electronic storage media even more secure than the conventional locked file cabinet that holds paper documents.

At DocuLynx, with a management team that averages more than 20 years of experience serving the document world, we understand that true fidelity of a document, speed to the desktop, and ease of use are key to our acceptance in the marketplace. Knowing that one size does not fit all situations, we wanted to create a Web-based solution that could work with existing client Web sites, existing client software, and would be scalable for small, medium and large volume clients. We wanted to develop a software solution that took advantage of compression algorithms and meet compliance requirements, yet flexible enough to work in conjunction with multiple print composition software products - even when companies choose to make a change in their composition software.

Our Mercury Web Presentment software is the result. It provides a standard “out of the box” interface that can be implemented in minutes. With a full toolkit that allows for easy integration within an enterprise’s existing infrastructure, Mercury Web is all about speed. Because convenience and security are two major reasons for migrating to electronic documents, it is important that a solution be lightning fast for both file ingestion and for retrieving and viewing documents over the Web and can handle a variety of files, including print files, image files, and report/text files. Mercury Web easily answers this requirement.  It has the ability to ingest and store documents in PDF format and performs searches of even the largest databases in a sub-second timeframe.

Additionally, Mercury Web offers multiple levels of security to ensure that only authorized employees can call up and view the stored information and has the ability to provide remote administrative access, solutions for storage from 30 days to 10 years, and disaster recovery options provide even more functionality. And to keep with a company’s corporate standards, Mercury Web can be customized, including interface customization to match the look and feel of the client’s Web site.

Most important, however, is the fact that Mercury Web Presentment software was engineered for the real world. To say it plainly, we believe in keeping it simple. So we designed a solution that is flexible enough to work with multiple composition applications, and adapt to change in order to take advantage of all the benefits inherent in electronic document archival and retrieval—without disrupting or retooling your business.
